Lettings Administrator

Calling all Property Administrators...

Due to rapid growth in the last 12 months, our client is looking to expand their lettings team in Peterborough.

We are calling all experienced administrators who are efficient and effective, and able to communicate face-to-face, via telephone and email. You must be highly organised, presentable, approachable and confident. You will be required to be to multi-task, manage external contractors and deliver ongoing excellent customer service even in difficult situations.

The ideal candidate will be quick to learn, use their initiative from the outset, possess good time management skills and be a team player.

Excellent listening and problem solving skills and the ability to remain calm and in control within a challenging environment is essential. Experience of working within a property sales or lettings agency would also be advantageous, but is not essential.

Ideally you will be computer literate and familiar with using Outlook, Word and Excel as well as databases, other IT tools and applications. Working knowledge of CPFwinMan would be a distinct advantage.

Key Responsibilities

  • Minimising voids and maximising rents by managing properties, landlords and tenants efficiently and effectively
  • Referencing potential tenants, preparing tenancy agreements and managing move-ins and move-outs
  • Dealing with inventories, dilapidations and deposit returns plus utility and council tax issues as required
  • Liaising with tenants, letting agents, contractors, client accounting team and external clients on a daily basis
  • Assessing and resolving enquiries, queries and problems as they arise in a timely and effective manner
  • Following instructions where required
  • Ensuring that client and internal mandates are complied with
  • Authorising and approving invoices and processing insurance claims with referral to a line manager where appropriate
  • Taking maintenance calls, evaluating responsibility and referring to a line manager where necessary
  • Instructing contractors to ensure that maintenance work is carried out in a timely manner and cost effective
  • Ensuring that statutory requirements, such as Health and Safety are adhered to at all times
  • Completing rent reviews and process inspection reports where required
  • Chasing late rent payments
  • Providing administrative support to the team
  • Assisting the portfolio manager with ad-hoc projects and additional tasks where required
  • Dealing with challenging and emotive calls

On offer is a salary of between £20,000 - £26,000 DOE.
